This marked trend, which initially emerged in Italy, is now visible across Europe, including France, Germany, Belgium, the Netherlands, and Spain. In France, for example, virtually every call for tender includes a dedicated ESG section: a questionnaire, required proof documents, certifications, and ratings.

The detail differs by market, but the direction is the same everywhere — sustainability claims now need proof behind them, and that proof affects who is most competitive for tenders.

How sustainability scores affect the cleaning supply chain

When sustainability appears in a tender, it’s rarely a pass or fail. It’s scored, and the score affects the outcome.

That pressure runs the length of the supply chain. Facility service providers are graded on their environmental credentials, which in turn depend on the equipment and products they use. A supplier with strong documentations makes for a stronger tender response, for everyone upstream.

How to meet sustainability requirements in procurement

The requirements are becoming more specific and more local — but three groupings show up most often:

• Environmental data: Product lifecycle and carbon footprint information, recyclability and recycled-content percentages, and packaging details. Increasingly, a general commitment isn’t enough — evaluators want a number, such as the percentage of recycled material in a product, not simply a statement that recycled materials are used. In at least one detailed assessment we’ve seen, scoring went beyond a single carbon figure too, weighing circularity, environmental impact more broadly, human health and product origin.

• Certifications and ratings: ISO14001, ISO 9001, and ISO 45001, plus EcoVadis ratings and recognised ecolabels. Holding a certification is only the first question. The second is scope — whether it applies at group, factory, subsidiary, supplier, or subcontractor level.

• Local compliance: Increasingly country-specific commitments rather than group-level claims alone. We’ve seen this last point catch organisations off guard — in one recent tender, a buyer acknowledged a supplier’s extensive international ISO certifications but still required compliance questionnaires completed for the local market specifically, with no group-level justification accepted.

Before the next tender lands, it’s worth having ready:

• Group and country-level sustainability reporting
• ISO documentation with clear scope — group, factory, subsidiary, or supplier
• Product-level data on carbon, recyclability, and packaging (standards such as ISO 14067 can help demonstrate this at the product level)
• Relevant ratings, such as EcoVadis
• A clear explanation of how global commitments apply locally
